    Supply Chain Management: Automation.

Managing supplier data and engagement manually is slow and inconsistent.

    01

    What this is for

Instead of manually emailing 50 suppliers each quarter asking for carbon data, create an automated system. Suppliers get a simple form link, their data flows into a database, you get alerts when new data arrives, and you can track progress automatically.

    02

    Why AI changes the approach

Managing supplier data and engagement manually is slow and inconsistent. AI helps you automate supplier outreach, data collection, and progress tracking so you can scale your efforts across dozens of suppliers.

    03

    Step-by-step

    1. 1

Design a supplier data collection form

      • Ask AI to create a simple online form for suppliers to submit carbon data
      • Keep it short: 5-10 fields maximum
      • Include: company name, reporting year, emissions (Scope 1, 2, 3 if possible), energy use, any certifications
      • Make instructions clear so non-experts can fill it out
    2. 2

Set up a data collection system

      • Use Google Forms (free, simple) or Airtable (more sophisticated)
      • Link the form to a spreadsheet so responses auto-populate
      • Test with 3–5 suppliers first before rolling out to all
    3. 3

      Create an automated outreach schedule

      • Ask AI to help you plan: When will you ask for data? (quarterly? annually?)
      • Design email templates that you send (or automate sending) to suppliers on schedule
      • Include: deadline, form link, brief explanation of why you need the data
    4. 4

      Set up progress tracking

      • Ask AI to help you design a simple dashboard (Google Sheets works) that shows:
      • Which suppliers have submitted data (yes/no)
      • Which are overdue
      • Trends in their emissions over time
      • Set alerts: Email you when a supplier submits new data or misses a deadline
    5. 5

      Refine based on feedback

      • After first round, ask suppliers: Was the form easy? What was confusing?
      • Update your form and template based on feedback
      • Measure: How many suppliers responded? How long did it take vs. manually emailing?
    04

    Ready-to-use prompts

Adapt to your actual files and context before using.

Prompt 1 (designing a supplier form)
I need suppliers to report carbon/energy data to me regularly. I want to keep it simple so they'll actually fill it out. Create a Google Form template that asks for:
    - Company name
    - Reporting year
    - Annual energy use (electricity, gas, other)
    - Scope 1 emissions (if they know it)
    - Scope 2 emissions (if they know it)
    - Any certifications or sustainability initiatives Make it beginner-friendly. Include instructions so they understand what each field means. Assume they may not be sustainability experts.
    Prompt 2 (automating supplier outreach)
I want to ask my 50 suppliers for carbon data quarterly. Right now I email them individually—it takes 3 hours and I get inconsistent responses. Help me:
    - Design an email template that explains what I need and links to a form
    - Create a schedule: When should I send? Include a 2-week deadline
    - Build a tracking spreadsheet that shows: supplier name, date sent, deadline, submitted (yes/no), date received
    - Suggest: How should I remind suppliers who miss the deadline?
Prompt 3 (setting up a supplier dashboard)
I collect emissions data from 50 suppliers using a Google Form. I want to track:
    - Which suppliers have submitted this year (vs. missing)
    - Their emissions trend (are they going up or down year-over-year?)
    - Who's my highest-emitter (need to prioritize engagement)
    - Who's not responding (so I know who to follow up with) Create a simple Google Sheets dashboard template that auto-pulls data from my form responses and shows all this.
    05

    Output template

    - TaskProgress tracking:**
    - Task 1: Form designed → Form link: ___
    - Task 2: System set up → Test phase complete: ___
    - Task 3: Outreach schedule → First send date: ___
    - Task 4: Dashboard live → Tracking metrics: ___
    - Task 5: Feedback collected → Refinements made: ___
    - Time saved vs. manual: Before ___ hours/quarter → After ___ hours/quarter
